Terms of Use & Privacy Policy

Abbots Hamilton - Hotel and Conference Centre  - Terms of Use and Privacy Policy  defines the conditions which one must accept in using  our your website and when making a reservation and staying at at the property. These terms and conditions must be accepted during the  online booking process and prior to confirmation.  

Hotel Policies
 

Booking accommodation and services

The booking of accommodation and services is a contract between the individual making the booking and this hotel.
 

Abbots Hamilton agrees to provide the accommodation and services described by the order description. The guest undertakes to pay for the accommodation booked and services used unless it has been cancelled by them in accordance with the cancellation policy associated with the order.


Due to the size of the hotel, late cancellations or no shows significantly affect our business, so if your plans do change for some reasons, Abbots Hamilton asks that you let us know prior to the cancellation deadline described on the order. Failure to advise will incur a charge.

 

Room rates
All prices are quoted in New Zealand dollars on a per night basis and include Goods and Services Tax.

Driven by customer demand, room rates vary throughout the day and year as advertised on our secure booking service www.abbotshamilton.co.nz.

 

Specials and packages

Packages and specials are subject to availability and cannot be used in conjunction with other special offers. Special conditions may apply. 

 

Child policy
Children 2 years of age and under are free of charge when accompanied by a paying adult and using a portacot, or sharing the same bed as adults. 
In circumstances where additional beds or bedding are required or used, the extra person rate will apply.

Guests under the age of 18 must be accompanied by a guest of 18 years or over.

It is the parent's, guardian's or team management's responsibility to supervise the child or children at all times while staying and we ask that you consider and respect other guests and neighbours by keeping noise levels to a minimum. 

 

Portacots and High Chairs 
Portacots and High Chairs are available (charges may apply). 

 

Reservations

To make a reservation you must be 18 years of age or over.

In making a reservation Abbots Hamilton requires the guests name, address, contact telephone (landline or mobile) numbers, and email address.

To confirm the reservation Abbots Hamilton requires a valid credit card number with expiry date sufficient funds to pay for the order. Abbots Hamilton reserves the right to charge a credit card at the time the booking is made.

Requests for accommodation and services where the customer does not have a credit card or the credit card details are confirmed to be invalid are not guaranteed. It is the hotel's sole discretion how long these requests will be honoured. 

Reservations made and paid for in cash without the security of a valid credit card, may be required to pay a reservation bond. This will be refunded once the room has been checked at the time of departure.

 

Check-in
Abbots Hamilton welcomes your arrival from 2.00pm or earlier by prior arrangement.

Upon arrival, each guest will be required to sign the registration form confirming the details are correct and accepting the terms and conditions therein of his/her stay.

Reception hours are:

• Monday to Friday 7:00am to 10:00pm.

• Saturday and Sunday, Public Holidays 8.00am to 9.00pm.

 If you are unable to check-in during reception hours, please phone +64 (7) 838 3299 to arrange a late check-in or key collection. Guests who do not contact us may be charged a late check-in fee of $50.00.

 

Check-out
Check-out is by 10.00am on the day of departure or later by prior arrangement.

 

Payment

Abbots Hamilton accepts payment by Visa, MasterCard, American Express(3% surcharge applies), Eftpos and cash.

When checking in, our standard practise is to charge the credit card for services pre-booked.

If you intend to pay by Eftpos or cash, you will be asked for a bond to be paid on arrival, (refundable on departure).

All accommodation and any other charges not already paid for must be paid in full on the day of departure (if not already done so), unless prior arrangements have been made with Abbots Hamilton. Overdue/recovery charges will apply if your account is not paid on time.

 

Refunds
Refunds will only be made to the credit card debited for the original transaction.

 

Overdue accounts
All accounts are payable on departure, unless prior arrangements have been made with Abbots Hamilton.   Abbots Hamilton reserves the right to charge overdue/recovery fees on all accounts not paid by due date.  

 

Amendments to bookings

All amendments to bookings must be made by the person who made the original reservation to the booking agency and be in writing. If the booking was made directly with Abbots Hamilton changes may be emailed to stay@abbotshamilton.co.nz.   Abbots Hamilton will acknowledge receipt of the email and discuss with you the changes requested.

 

Cancellations

All cancellations must be made in writing by the person who made the original reservation. Cancellations may be emailed to stay@abbotshamilton.co.nz, or to the booking agency contracted. Please check your order documentation to determine who you made the booking with. Please check the cancellation policy on the booking documentation to determine your options. 

 

Group bookings
Cancellation of Group bookings must be notified no later than 30 days prior to the expected date of arrival.  All cancellations less than 30 days prior to the expected date of arrival will be charged for the full period of the accommodation booked unless we are able to replace the booking.

 

No show – fail to arrive
As Abbots Hamilton has a contract with you and holds your booking in good faith pending your arrival. If you fail to arrive, you will be charged the full cost of the accommodation booked.

 

Early departure

Departure earlier than the reserved date may not result in a refund unless Abbots Hamilton is able to replace the booking.

In the event of a late cancellation every effort will be made to resell the room and you will only be responsible for the cost if this is unsuccessful. 

 

Internet usage and copyright

Abbots Hamilton provides WiFi to enable its customers to access email accounts and to search for information via the internet.  Please check your order for your access rights. If this service is not included in your purchase please contact reception for charge rates.

Under New Zealand Copyright Law the rights holders (owners) of movies, TV shows, and music can now send fines of up to $15,000 to Abbots Hamilton if their copyrights are infringed. Our internet system records the devices used and can be provided to the authorities where a copyright has been infringed. Any fines received by Abbots Hamilton will be recovered from the individual responsible for the infringement.

 

Damages

Damage to this property should be reported immediately. Any extra cleaning, repairs or replacements required to restore our guest rooms or property to its normal condition will be charged to the registered guest at replacement cost or market rates, plus a charge for any resultant loss of income if applicable.
 

If your room is left in an unsatisfactory state, this includes, excessive rubbish, smoking in the room, misuse of hotel property (including linen), any unhygienic cleanliness, soiling, excessive mess or odour in the kitchen, which causes excessive and unwarranted cleaning time, Abbots Hamilton reserves the right to charge for the cost of extra cleaning, repairs or replacements required to restore our guest rooms or property to its normal condition.

 

Smoking

Abbots Hamilton is a smoke free complex. Smoking is not permitted or allowed in any of the guest rooms or inside areas. Smoking facilities are provided outside. Please smoke away from open windows, doors and other guests.

 

Visitors

Guests' visitors are welcome. The registered guest is responsible for the behaviour of all persons/visitors whilst on the property. We ask that you consider and respect other guests by keeping noise levels to a minimum.

All visitors not booked into the hotel are expected to vacate the premises quietly before 9.00pm and not return until 9.30am.

Abbots Hamilton does not allow noisy gatherings or parties in its guest rooms. Excessive noise, disturbing other guests, may result in you being requested to immediately vacate Abbots Hamilton, without refund. Incidents of this nature will be reported to the NZ Police.

 

Pets

Pets are not allowed.

 

Concerns or complaints

Should you experience any difficulties with your stay, immediately contact reception to register your concern. Every effort will be made to rectify the situation and make your stay as comfortable and enjoyable as possible.

This web site is owned and operated by Abbots Hamilton and will be referred to as "We", "our" and "us" in this Internet Privacy Policy. By using this site, you agree to the Internet Privacy Policy of this web site ("the web site"), which is set out on this web site page. The Internet Privacy Policy relates to the collection and use of personal information you may supply to us through your conduct on the web site.

We reserve the right, at our discretion, to modify or remove portions of this Internet Privacy Policy at any time. This Internet Privacy Policy is in addition to any other terms and conditions applicable to the web site. We do not make any representations about third party web sites that may be linked to the web site.
 

We recognise the importance of protecting the privacy of information collected about visitors to our web site, in particular information that is capable of identifying an individual ("personal information"). Credit Card Details

3. Credit Card details are only stored for the processing of payment and will be deleted once payment is processed.

Apart from where you have consented or disclosure is necessary to achieve the purpose for which it was submitted, personal information may be disclosed in special situations where we have reason to believe that doing so is necessary to identify, contact or bring legal action against anyone damaging, injuring, or interfering (intentionally or unintentionally) with our rights or property, users, or anyone else who could be harmed by such activities. Also, we may disclose personal information when we believe in good faith that the law requires disclosure. 

5. We may engage third parties to provide you with goods or services on our behalf. In that circumstance, we may disclose your personal information to those third parties in order to meet your request for goods or services.

8. In addition, our employees and the contractors who provide services related to our information systems are obliged to respect the confidentiality of any personal information held by us. However, we will not be held responsible for events arising from unauthorised access to your personal information.


Collecting Information for Users 

9. IP Addresses

Our web servers gather your IP address to assist with the diagnosis of problems or support issues with our services. Again, information is gathered in aggregate only and cannot be traced to an individual user. 

10. Cookies and Applets

We use cookies to provide you with a better experience. These cookies and allow us to increase your security by storing your session ID and are a way of monitoring single user access.

This aggregate, non-personal information is collated and provided to us to assist in analysing the usage of the site.

11. We will endeavour to take all reasonable steps to keep secure any information which we hold about you, and to keep this information accurate and up to date. If, at any time, you discover that information held about you is incorrect, you may contact us to have the information corrected.
